What does Zoho back up for you, and what should you back up yourself?

Zoho backs up its own systems so it can recover from hardware or data center failures. Zoho's security page says it runs daily incremental and weekly full database backups, encrypted with AES-256 and kept for three months, and that data is replicated to a secondary data center in near real time. Zoho says it can restore a customer's data on request within that retention period, with timing depending on size and complexity.

That is a safety net, not your backup plan. Zoho itself strongly recommends that customers schedule regular exports from each service and store them in their own infrastructure. Your own copy protects you against the things Zoho's backups are not designed for: a user who bulk-deletes records, a bad import, an integration that overwrites fields, or a decision to leave Zoho.

Each app also has short-term undo tools. Zoho CRM keeps deleted records in the recycle bin for 60 days and its audit log for 60 days. Zoho Mail admins can recover a user's deleted emails for up to 25 days. WorkDrive keeps deleted items for 7 to 120 days, depending on your retention policy and plan.

Zoho backup and data export: which option does each app offer?

There is no single button that backs up every Zoho One app. Use this table to see the native option in each of the apps that usually hold the most business data.

How do you back up Zoho CRM data?

An administrator goes to Setup > Data Administration > Data Backup and chooses every week, twice a month, once a month or download immediately. When the backup is ready, the admin who set it up and the Super Admin get an email, and the files are downloaded from the same page. The download link stays active for up to seven days, so someone must collect it each time.

The backup arrives as two ZIP sets: CRM data as CSV files per module, and attachments. Zoho says it includes File Upload and Image Upload field data and draft records from wizards. It does not include email content and attachments, Documents, data obtained through integrations, or emails from IMAP configurations.

Free backups depend on edition. Zoho's help page mentions two free backups on most paid editions and four on Ultimate, with extra and weekly backups available as paid add-ons. How do you export data from Zoho Books?

In Zoho Books, open Settings, then Data Management under Developer Data. There are three separate backups. Data backup exports your organization's records in CSV or XLS format. Document backup exports attached files, such as files on bills and quotes, as a ZIP. Audit trail backup exports your audit trail activity as a ZIP.

Each backup type can run only once every 15 days. The download link for data and documents expires after 30 days, and for the audit trail after 60 days. Zoho presents this as an export of your records, not a one-click restore, so treat it as an archive and evidence for your accountant or auditor rather than a rollback tool. Most firms run it right after each month-end close.

How do you back up Zoho Creator, WorkDrive and Zoho Mail?

Zoho Creator has the most complete native backup. You can run a one-time backup or set backups to run automatically at regular intervals. Each backup is a ZIP containing the app's Deluge script file and CSV files of the app data, and you can restore an app's structure and data to a chosen earlier version. Zoho notes that integration field data is not handled by backup and restore.

Zoho WorkDrive is file storage, so the simplest backup is downloading team folders. Organization admins can also run WorkDrive exports from the admin console's eDiscovery area where their plan includes it. Set your deleted items retention period deliberately, because Zoho permanently deletes trashed items after 7, 30, 90 or 120 days on Team, Business and Zoho One plans.

In Zoho Mail, super admins and admins can export user mailboxes from the Admin Console as ZIP, or as PST on paid plans. Zoho allows up to 50 users per ZIP export and 10 per PST export, and keeps the files for 30 days. Export a mailbox before you delete a leaver's account.

How do you build a backup routine for Zoho One?

A routine beats a one-off export. This is the monthly pattern we suggest to clients, adapted from our short answer on backing up an entire Zoho One account.

1. 1List every Zoho app that holds business data and name an owner for each backup.
2. 2Schedule Zoho CRM data backup at the frequency your edition allows, such as twice a month.
3. 3Run Zoho Books data, document and audit trail backups after each month-end close.
4. 4Schedule Zoho Creator backups for every live app.
5. 5Export Zoho Mail and WorkDrive data for every leaver before removing the user.
6. 6Download each file within its expiry window and store it outside Zoho with restricted access.
7. 7Test a restore every quarter by importing a sample module into a sandbox or test organization.
8. 8Keep a short log of what was backed up, when and by whom.
