How do I back up an entire Zoho One account?

There is no single button that backs up every Zoho One app at once. Each app has its own export or backup option, such as data backup in Zoho CRM, organisation backup in Zoho Books, and file download in WorkDrive. Build a backup routine app by app, store copies somewhere you control, and automate the important ones where the app allows scheduling.

Zoho runs its own backups for service continuity, but those are for disaster recovery on Zoho's side, not for you to restore a single deleted record or keep an independent copy. If your business or regulator needs your own copy, you must take it from each app.

Start with the apps that hold critical data. Zoho CRM has a data backup feature that can be scheduled on higher editions and produces CSV files. Zoho Books lets you back up organisation data. Zoho Creator apps can export data and app definitions. WorkDrive and Mail allow downloads and exports. Zoho People, Desk, Projects and others have their own export options. Check each app's current help page for limits.

Store backups in a location outside Zoho that you control, with access limited to a few people. Write down what is backed up, how often, and who checks it. Test a restore of a small sample now and then, because a backup that cannot be used is not much help. For larger setups, scripts using Zoho APIs can automate exports.
