By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
Connect Zoho CRM and Zoho Books to the same Zoho Analytics workspace, set a sync schedule for each, then check or create lookup columns that link Books customers to CRM accounts. Use a shared ID rather than names to match customers, and build query tables for blended reports such as pipeline to revenue and sales rep to collections.

This how-to is for finance leads, sales managers and owners who run Zoho CRM and Zoho Books and want one set of reports across both. You will learn what to check before you connect anything, how to bring both apps into one Zoho Analytics workspace, how often the data refreshes, how to match customers reliably across the two apps, and which blended reports to build first. Menu names follow Zoho's current help pages, and options vary by Zoho Analytics edition and data center.
Why blend Zoho CRM and Zoho Books data at all?
Because each app only sees half of the story. Zoho CRM knows the pipeline, the deal owner and the expected close date. Zoho Books knows what was invoiced, what was paid and what is overdue. Questions such as which rep brings in customers who pay late need both.
Native CRM reports struggle with this, which we cover in why Zoho CRM reports get hard and when to use Zoho Analytics. Zoho Analytics lets you put both data sets in one workspace and join them.
What do you need before you connect the two apps?
You need the right access, an Analytics edition that suits your refresh needs, and an agreed key that identifies the same customer in both apps. Sort these out first and the setup itself is quick.
| Item | Why it matters | Where to check |
|---|---|---|
| Administrator profile in Zoho CRM | Zoho's CRM help says only administrators can link CRM to Zoho Analytics | CRM Setup, Users and Control |
| Admin access in Zoho Books | Needed to set up the Books integration and its schedule | Books Settings, Integrations |
| Zoho Analytics edition | Sync frequency options depend on the edition | Zoho Analytics pricing page and your subscription |
| One shared workspace | Zoho says connectors must be in the same workspace to blend | Zoho Analytics workspace list |
| Customer key | Links Books customers to CRM accounts without guessing | CRM and Books field lists |
| Field list per CRM module | Zoho's CRM help notes a limit on fields synced per module | Advanced Analytics for CRM settings |
Agree who owns the workspace before you start. Zoho's CRM help says only one Zoho Analytics account can be associated with a Zoho CRM account, and reports start out visible only to the administrator who set up the link. Decide early which managers get which reports, and whether sales reps should see finance figures such as balances due. Sharing is easier to plan than to undo.
How do you bring Zoho CRM and Zoho Books into one workspace?
Set up the CRM connector first, then add Books to the same workspace. The steps below follow Zoho's help pages; labels may differ slightly in your account.
- In Zoho CRM, go to Setup, Marketplace, Zoho, then Advanced Analytics for CRM, and choose Configure.
- Select the modules you need, such as Accounts, Contacts, Deals and Users, and pick only the fields your reports will use.
- Choose a sync schedule from the options your Analytics edition offers, then save. Zoho creates a workspace with CRM tables and starter reports.
- Open that workspace in Zoho Analytics and choose to import data from a new source. Select Zoho Books from the Zoho apps list.
- Pick the Books organization, the modules you need, such as Customers, Invoices, Payments Received and Credit Notes, and a sync schedule.
- Review the lookups Zoho suggests between CRM and Books tables, and accept or change them.
- Open the Model Diagram and confirm that each Books customer table links to the CRM accounts table through the key you chose.
- Run a manual sync, build one test report and compare its totals with the same figures inside Zoho Books.
Step 8 matters. If a revenue total in Analytics does not match Books, fix it now, before managers start to rely on the dashboard.
How often does blended data refresh?
It refreshes on the schedule you set for each connector, and the options depend on your Zoho Analytics edition. Zoho's CRM help lists daily sync on entry editions, intervals of a few hours on mid editions, and hourly or instant options on higher ones. Manual sync is available in all editions. Books has its own schedule.
Because the two connectors sync separately, a report can show a deal as won in CRM before the matching invoice appears from Books. Tell report users when each source last synced, and schedule both close together. For month-end packs, run a manual sync of both just before you share the report.
Check the current sync options on Zoho's pricing page and in your connector settings. They have changed over time and can differ by data center.
How do you match customers across Zoho CRM and Zoho Books?
Match on an ID, not a name. Names drift: one app says Acme Ltd, the other says ACME Limited, and a name join silently drops revenue from your reports.
Zoho says Analytics tries to set up lookups automatically for certain app pairs, and lists Zoho CRM with Zoho Finance as one of them. If the lookups you expect do not appear, create them yourself with the lookup column option, pointing the Books customer column at the CRM account ID.
If your Books customers were created through the native Zoho CRM and Books integration, the CRM link is usually already there. If they were not, add a custom field in Books that holds the CRM account ID, fill it once with a cleaned import, and make it required for new customers.
- Build a query table that lists Books customers with no matching CRM account. Work it down to zero.
- Do the same for CRM accounts marked as customers with no Books record.
- Re-run both checks monthly. New mismatches show where a process is skipping a step.
Contacts need the same care as accounts. If you sell to individuals rather than companies, the Books customer may map to a CRM contact instead of an account. Pick one model, document it, and keep it the same across every report.
Which blended reports should you build first?
Start with reports that answer a money question a manager asks every week. Query tables, which Zoho describes as SQL SELECT queries that behave like a table, are the easiest way to build them. Note that Zoho says query tables run as separate entities from their parent tables, so review them when you change the source structure.
A sales rep to collections query, for example, selects the account owner from the CRM accounts table, joins Books invoices on the customer key, and sums invoice totals, payments received and balance due per owner for the chosen period. Column names vary by account, so build the first version with the query editor's column picker rather than typing names from memory. Save it, then chart it like any other table.
| Report | From Zoho CRM | From Zoho Books | Answers |
|---|---|---|---|
| Pipeline to revenue | Deals by stage and close month | Invoiced amount by month | How much won pipeline turned into invoices |
| Sales rep to collections | Account owner | Payments received and balance due | Which reps bring in customers who pay |
| Won but not invoiced | Closed Won deals | Invoices per customer | Deals that finance has not billed yet |
| Days to pay by segment | Industry or lead source | Invoice and payment dates | Which segments pay slowest |
| Overdue by account owner | Account owner | Overdue invoices | Who should chase which customer |

Frequently asked questions
Do Zoho CRM and Zoho Books have to be in the same Analytics workspace?
Yes. Zoho says all the connectors you want to blend must be set up in the same workspace.
Can blended reports update in real time?
Not usually. Each connector syncs on its own schedule, and the fastest options depend on your Zoho Analytics edition, so check what your plan offers.
What if customer names differ between CRM and Books?
Join on an ID instead of a name. Store the CRM account ID on each Books customer and use it as the lookup key.
Do I need SQL to build these reports?
Not for simple reports, which you can build with drag and drop over linked tables. Query tables use SQL and help with more complex blends.
Can I blend data from more than one Books organization?
Zoho's Books help says the Analytics integration supports reporting across multiple Books organizations, but check how your workspace is set up before relying on it.
