Zia LLM vs ChatGPT vs Claude for Zoho Data: Which to Use in 2027
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
Use Zoho's own Zia LLM when keeping data inside Zoho matters most and the task is routine, such as summaries and short drafts. Connect ChatGPT, Claude or Gemini when you need stronger long-form writing, reasoning or a tool your team already uses, and accept that the provider's data terms and usage billing then apply.

This post is for business owners and managers who run Zoho and are deciding which AI model should touch their CRM, Books or Desk data in 2027. Zoho now offers its own models and lets you plug in outside ones, so the question is no longer whether you can use AI, but which model for which job. You will learn how each option works with Zoho, how they compare on data residency, setup effort, cost model, writing quality and control, and a simple way to set a model policy that mixes both.
What are my model options inside Zoho?
You have three broad routes. First, Zoho's own model, which Zoho calls Zia LLM. Zoho announced it in July 2025 in three sizes and said it runs in Zoho data centers in the US, India and Europe. Second, outside models plugged into Zoho features: Zoho CRM's Models settings let an admin switch on OpenAI (ChatGPT), Google Gemini, Anthropic and others by adding an API key, according to Zoho's help pages, and Zia Agents can use your own OpenAI, Gemini or Claude key. Third, the reverse direction: an outside assistant such as Claude or ChatGPT reaching into Zoho through Zoho MCP or a custom integration.
The first two routes keep the work inside Zoho screens: your staff click a Zia button in a record and the chosen model does the job. The third route starts in the outside assistant, and Zoho becomes one of the tools it can use. That difference matters for training, because staff work where they already spend their day.
Each route suits different jobs. The comparison below is about how they behave with your Zoho data, not about which AI company is best overall.
How do Zia LLM and outside models compare?
The short version: Zia LLM wins on data residency and simplicity, while outside models usually win on long-form quality and flexibility. Here is how they line up on the criteria that matter to most businesses.
| Criterion | Zia LLM (Zoho-hosted) | OpenAI, Claude or Gemini via integration or MCP |
|---|---|---|
| Data residency | Runs in Zoho's own infrastructure; Zoho says customer data is not sent to outside AI providers | Prompts and record content go to the provider; their regions and retention terms apply |
| Setup effort | Low: an admin switch in supported apps and editions | Moderate: API keys, terms review, field scoping; custom integrations or MCP need more setup |
| Cost model | Many built-in features included; agent usage above a free allowance uses Zoho credits | Usage-billed by the provider on your own key; integration build cost is separate |
| Quality for drafting | Good for summaries, short emails and field suggestions | Usually stronger for long documents, complex reasoning and tone control |
| Control | Managed by Zoho admin settings and Zoho's privacy terms | You manage keys, provider settings and opt-outs; more choice, more responsibility |
Zoho's own help page notes that each outside provider handles data differently, for example in whether it may retain interactions unless you opt out. Read the current terms for your provider and plan before switching it on.
When should I use Zoho's own Zia LLM?
Choose Zia LLM by default for routine, high-volume work on sensitive records. Zoho states its models are not trained on customer data and do not retain customer information, and in Zoho CRM certain personal, sensitive and PHI-encrypted fields are excluded from AI processing. That makes it a sensible baseline for businesses in regions with strict data rules.
- Record and email thread summaries for sales and support staff.
- Short reply drafts and field suggestions inside Zoho CRM and Desk.
- Agents that classify, tag or route records rather than write long text.
- Teams in the EU, UK, UAE, Saudi Arabia or India who want to avoid adding a new data processor.
When is ChatGPT, Claude or Gemini the better choice?
Pick an outside model when the task needs more writing or reasoning power than a routine summary, or when your team already works in that assistant every day.
Typical cases include drafting proposals from CRM data, writing long personalized follow-ups, analyzing patterns across many deals, or letting a manager ask Claude or ChatGPT questions about the pipeline in plain language. For that last case, Zoho MCP lets an MCP-compatible assistant act under your user permissions; our post on connecting Zoho to Claude and ChatGPT with MCP explains the setup.
Outside models also help when you need one assistant that works across Zoho and non-Zoho tools, such as Google Drive, Slack or Microsoft 365, because the same assistant can see context from several systems at once.
Between the three providers, the right pick depends on your existing tools and contracts. A business already on Google Workspace may lean toward Gemini; a team that uses ChatGPT daily may prefer OpenAI; teams writing long, careful documents often test Claude. Run the same five real tasks through each before deciding, and check each provider's business data terms.
Can I mix Zia LLM and outside models?
Yes, and most businesses should. Zoho CRM lets admins enable more than one model, and Zoho's help pages say users can switch between active models in the record assistant. A simple model policy looks like this:
- Zia LLM is the default for summaries, tagging and short drafts.
- One approved outside model is allowed for named long-form tasks, such as proposals.
- Sensitive fields are never sent to outside models, and admins review field access each quarter.
- Only admins add or change API keys, and keys are owned by the business, not an individual.
- Usage and cost are reviewed monthly against the time saved.
Review the policy every six months. Zoho adds models and features often, and a task you sent to an outside model in early 2027 may run well on Zoho's own model later in the year.
Write the policy down and share it with staff. It prevents people from pasting customer data into personal AI accounts, which is a bigger risk than any approved integration.
What does a ChatGPT, Claude or Gemini integration with Zoho CRM cost?
Flowpeak builds these integrations at a fixed price: OpenAI (ChatGPT) with Zoho CRM is USD 1,180, Claude with Zoho CRM is USD 1,330, and Google Gemini with Zoho CRM is USD 1,020. That covers the build. Model usage is billed separately by the provider on your own account, and your Zoho licences are separate too; check Zoho's pricing page for your region.
A fixed-price build makes the cost predictable. The ongoing cost is usage, which depends on how many records and how much text you send. Starting with one narrow use case, such as drafting follow-up emails for open deals, keeps that bill small while you learn what the model is worth to you.

Frequently asked questions
Is Zia LLM as good as ChatGPT or Claude?
For routine summaries and short drafts inside Zoho, it is usually enough. For long documents and complex reasoning, larger outside models generally perform better, so test both on your real tasks.
Does connecting ChatGPT to Zoho send my data to OpenAI?
Yes, the content used in each request goes to the provider and their terms apply. Zoho CRM processes fields individually and excludes some sensitive fields, but you should still review what each feature sends.
Who pays for model usage when I use my own API key?
You do, directly to the provider, based on usage. This is separate from your Zoho subscription and from any integration build cost.
Can I switch models later?
Yes. Admins can enable or disable models in Zoho settings, so starting with Zia LLM and adding an outside model later is straightforward.
Is MCP better than a direct integration?
They solve different problems. MCP lets an outside assistant work across Zoho apps on request, while a direct integration builds a fixed AI step into your CRM process.
