SharePoint Zoho CRM Integration: Your Options and How to Set Them Up
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
A SharePoint Zoho CRM integration is usually done with the SharePoint for Zoho CRM extension from Zoho Marketplace. It adds a SharePoint tab, per-deal and per-account folders and SharePoint file lists on CRM records. For automation, Zoho Flow can create SharePoint folders when CRM records are created. Custom builds cover the rest.

This guide is for companies that keep proposals, contracts and project files in Microsoft SharePoint and run sales in Zoho CRM. Sales staff should not have to hunt across two systems for the latest quote. You will learn the four realistic ways to connect SharePoint and Zoho CRM, what each one does and does not do, how to set up the Marketplace extension, how to design a folder structure that stays tidy, and when a custom build is worth it. We note where details depend on your Zoho data center, edition or Microsoft 365 setup.
What are the options for SharePoint Zoho CRM integration?
There are four practical routes. Most companies start with the extension and add automation only where it saves real time.
| Option | What it does | Good for | Limits to check |
|---|---|---|---|
| SharePoint for Zoho CRM extension (Zoho Marketplace) | SharePoint tab in CRM, folders per deal and account, file lists on records, sharing links | Most teams that want files visible on CRM records | Contact sync is one-way, from SharePoint to CRM; up to five people per share |
| Cloud drive attachments | Attach files to a record's Attachments list from Google Drive, Box or OneDrive | Occasional one-off files | Zoho lists a 10MB file limit and five files at a time; SharePoint is not listed |
| Zoho Flow | Automations, such as creating a SharePoint folder when a lead or deal is created | Consistent folder creation without manual work | SharePoint triggers and actions in Flow are limited; check the current list |
| Custom integration (Deluge and Microsoft Graph) | Anything the API allows, such as metadata, naming rules and file moves | Strict folder rules or document workflows | Needs build, testing and someone to maintain it |
Third-party Marketplace apps also exist. One listing, from an independent developer, says it builds a folder structure in SharePoint and shows it on records in modules such as Accounts, Contacts, Leads, Deals and Quotes. Review any third-party app's permissions, support and data handling before you install it.
Whichever route you pick, the files stay in SharePoint. Zoho CRM shows them, links to them or creates folders for them. That matters for compliance and backup: your Microsoft 365 retention, sharing and access policies still apply to the documents, and your Microsoft admin stays in control of who can open them.
What does the SharePoint for Zoho CRM extension do?
According to Zoho's help page, the extension lets you access, manage and organize SharePoint libraries from inside Zoho CRM. It adds three things. First, a SharePoint web tab for browsing sites, libraries and folders. Second, a 'SharePoint files' related list on Accounts and Deals. Third, a 'SharePoint shared items' related list on Leads, Contacts and Vendors.
You can create files and folders from the web tab, upload from your computer or from the CRM Documents module, and preview, download or save a file into Zoho CRM. You can share a file with specific leads or contacts, or create a link, with View or Edit permission. Zoho says the extension is available in its US, EU, IN, AU, CA, JP and CN data centers. Edition requirements are not stated on the help page, so confirm them in Zoho Marketplace for your account.
How do you set up the SharePoint extension in Zoho CRM?
Plan the folder structure before you install. Then follow these steps.
- In Zoho CRM, go to Setup > Marketplace > All, find the SharePoint extension and click Install.
- Accept the terms and choose who gets it: admins only, all users, or selected profiles.
- Click Authorize and sign in with a Microsoft 365 account that has access to the sites you need. Your Microsoft admin may need to approve the app.
- Choose to load all SharePoint sites or one specific site, and set the parent site.
- Turn on folder creation for Deals and Accounts if you want one folder per record.
- Decide whether to sync SharePoint contacts into Zoho CRM as Leads or Contacts, daily or weekly. This sync runs one way only.
- Test with one account and one deal: create the folder, upload a file, share it and check permissions from a non-admin user.
How should you structure SharePoint folders for CRM records?
Keep it simple and predictable. A common pattern is one SharePoint site for sales, a library for customers, a folder per account, and a subfolder per deal inside it. The extension places account folders in the root folder by default, so decide early whether that suits you.
Name folders with the account name plus a stable ID, such as the CRM record ID or your customer number. Names change; IDs do not. Microsoft notes that OneDrive is designed for individual users' work files, and that SharePoint is the better place for files shared across a team or organization. So store customer folders in a SharePoint site, not in one salesperson's OneDrive.
- Sales site > Customers library > Account folder > Deal subfolders
- Standard subfolders per deal: Proposal, Contract, Purchase Order, Handover
- Permissions managed in SharePoint groups, not per file
- A short written naming rule that every new hire can follow
When do you need Zoho Flow or a custom build?
Use Zoho Flow when you want something to happen automatically. Zoho Flow lists SharePoint actions such as Create folder, Create text file, Fetch file and Fetch folder, plus triggers for new sites and drives. Paired with Zoho CRM triggers such as New lead or Updated deal, you can create a SharePoint folder the moment a deal is created and, where the folder details come back, store a link on the CRM record. See our Zoho Flow implementation service for how we build and monitor flows.
Choose a custom build when you need rules Flow cannot express: moving files when a deal is won, setting SharePoint metadata, applying retention labels or handling several sites by region. These builds usually use Zoho CRM functions written in Deluge calling the Microsoft Graph API. Our integration service scopes these as fixed-price projects.
Before you build, list the moments that matter. For most sales teams there are only three: a new account needs a folder, a deal moves to proposal and needs a quote folder, and a won deal needs its contract filed for the delivery team. If the extension and one or two flows cover those moments, you do not need custom code. Keep every automation documented, with an owner, so it does not break quietly when someone renames a SharePoint site or changes a folder.
Is SharePoint or Zoho WorkDrive better for CRM documents?
If your company already runs Microsoft 365 and SharePoint holds years of files, keep SharePoint and connect it. Moving every file is rarely worth the disruption. If you are starting fresh, or you run Zoho One, Zoho WorkDrive is worth comparing because it is built to work with other Zoho apps. Our guide to WorkDrive document management covers team folders and permissions. Check each vendor's pricing page for current plans.
A mixed setup is also common. Some teams keep contracts and controlled documents in SharePoint, where legal and finance already manage them, and use the CRM Documents module or WorkDrive for working sales files. That is fine, as long as everyone knows which place holds the final signed version.

Frequently asked questions
Is the SharePoint extension made by Zoho?
Zoho documents the SharePoint for Zoho CRM extension in its own help center and lists it in Zoho Marketplace. Other SharePoint apps in the Marketplace come from independent developers, so check the developer name on the listing.
Can Zoho CRM attach files from SharePoint directly?
Zoho's cloud attachment feature lists Google Drive, Box and OneDrive, not SharePoint. For SharePoint libraries, use the SharePoint extension or an automation.
Does the integration sync files both ways?
Files stay in SharePoint and are shown inside Zoho CRM. The contact sync in the extension runs one way only, from SharePoint into Zoho CRM.
Does it work with SharePoint Server on premises?
Zoho's help page does not say. The setup asks you to authorize a SharePoint account online, so plan for SharePoint Online and confirm with Zoho if you run SharePoint Server.
Do I need a Microsoft admin to set it up?
Often, yes. Many Microsoft 365 tenants require admin consent before a third-party app can access SharePoint, so involve your admin early.
