Ask Zia in Zoho Analytics: Plain-English Reporting That Gets It Right

By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

Ask Zia lets you type a question such as "sales by region this quarter" in Zoho Analytics and get a chart or KPI back. Answers are only right when tables are joined, columns have clear names and synonyms, and default calculations are set. Zoho lists its generative AI features on Premium and Enterprise plans.

This guide is for owners, sales heads and finance managers who want answers from their data without waiting for someone to build a report. It explains what Ask Zia does in Zoho Analytics today, why the data model matters more than the question, how to prepare tables and synonyms, which questions suit each role, and how to check an answer before you act on it. It applies whether your data comes from Zoho CRM, Zoho Books or outside systems.

What is Ask Zia in Zoho Analytics?

Ask Zia is the conversational assistant in Zoho Analytics. You type a question in plain English and it returns the report it judges most suitable, such as a single KPI number or a chart. Zoho's help also describes Zia Insights, which writes short narrative summaries of trends, and newer Ask Zia agents for building dashboards, writing SQL query tables, creating formulas, preparing data and running Python in Code Studio.

Zoho's help says the generative AI capabilities are available on the Premium and Enterprise plans and, by default, only to administrators, who can grant access to others. Admins choose between Zoho's own LLM and an OpenAI integration for different tasks. Zoho states that columns marked as personal data are never shared with the LLM. Check Zoho's pricing page for your region for plan details.

Why does your data model decide whether answers are right?

Ask Zia reads table and column names, data types and the links between tables. If your revenue sits in one table and your regions in another, Zoho's help says the tables must be joined with a lookup column before Zia can answer a question that spans both.

Naming matters as much. A column called "amt_2" means nothing to Zia, while "Invoice Amount" does. If two tables both hold an amount column, Zia needs to know which one you mean. Most wrong answers come from these gaps, not from the question.

Values matter too. If one salesperson types "UAE", another "United Arab Emirates" and a third "Dubai" in the country field, a question about revenue by country will split one market into three. Fix the source where you can, for example with picklists in Zoho CRM, and use data synonyms for the rest.

Zoho's product pages also describe a semantic model that its custom AI agents share with Ask Zia, so that agents and Ask Zia give consistent answers. The work you put into names, joins and synonyms is therefore reused, not thrown away, as you add more AI features.

How does Ask Zia work with Zoho CRM and Zoho Books data?

Many businesses want answers across sales and finance, so the usual setup syncs Zoho CRM and Zoho Books into one Zoho Analytics workspace. Zoho's built-in connectors bring in modules such as deals, accounts, invoices and payments, and Zoho Analytics can relate them. Check that the join keys line up, for example that a CRM account and a Books customer refer to the same company.

Plan for sync timing. Imported data refreshes on a schedule, so an answer at 9 a.m. may not include a deal closed at 8:55. Tell users how fresh the data is, and show the last sync time on key dashboards. If you also pull from spreadsheets or outside systems, keep one owner responsible for each source so names and values stay consistent. A short written data dictionary, listing each table, its source and its key columns, saves time whenever someone new starts asking questions.

How do you prepare your data so Ask Zia answers correctly?

Do this once, before you open Ask Zia to the wider team. Zoho's training settings are under Settings and then Manage Synonyms on the Ask Zia screen, or in a table's Edit Design view.

  1. Connect your sources, such as Zoho CRM, Zoho Books or a spreadsheet, and remove tables nobody uses.
  2. Join related tables with lookup columns, for example invoices to customers and deals to accounts.
  3. Rename columns in plain business words that match how people talk.
  4. Add table and column synonyms, such as "revenue" and "sales" for an invoice amount. Zoho can suggest synonyms if the OpenAI integration is on.
  5. Add data synonyms for text values, such as "KSA" for Saudi Arabia or "NYC" for New York.
  6. Set column priority and the default function, so amounts sum and prices average.
  7. Exclude staging or duplicate tables from Ask Zia so it never picks them.
  8. Mark personal data columns and keep a few verified reports to compare answers against.

What questions can owners, sales heads and finance ask?

Start with questions you already answer by hand each month. The table shows what data each one needs.

Example Ask Zia questions and the data they need
RoleExample questionData needed
OwnerTotal revenue by month this yearInvoices with dates and amounts
OwnerTop 10 customers by revenue last yearInvoices joined to customers
Sales headDeals won by salesperson this quarterCRM deals with owner, stage and close date
Sales headPipeline value by stage except closed lostOpen deals with amount and stage
Sales headAverage deal size by lead sourceDeals joined to leads with a source field
FinanceOverdue invoices by customerInvoices with due date, status and balance
FinanceExpenses by category this quarter versus lastExpense records with category and date
FinanceRevenue by country in each currencyInvoices with country and currency fields

Zoho's help suggests naming the metric and the grouping, adding time words such as monthly or quarterly, and using terms like top 10, except or sort by descending to shape the result.

What are the limits, and how do you check an answer?

Ask Zia interprets your words, so it can pick the wrong column, date or filter. Zoho's help acknowledges that gaps in understanding can happen. It handles minor typos, but questions across unjoined tables will not work, and data synonyms are not available for live connect tables.

Check three things before acting on an answer. First, read the report's filters and date range, especially if your fiscal year is not the calendar year, as is common in India and the UK. Second, confirm the currency and whether totals mix currencies. Third, compare the number with one of your verified reports. If it is wrong, fix the synonym or join rather than rewording the question each time, so the next person gets it right.

For decisions with money attached, such as pricing changes, hiring or tax planning, treat an Ask Zia answer as a starting point and confirm it with your finance team or accountant.

Frequently asked questions

Which Zoho Analytics plans include Ask Zia's generative features?

Zoho's help lists its generative AI capabilities on the Premium and Enterprise plans, with access limited to administrators by default. Check Zoho's pricing page for your region.

Does Ask Zia send my data to OpenAI?

Only if an administrator turns on the OpenAI integration for the tasks that use it. Zoho states that columns marked as personal data are never shared with the LLM and that insight recommendations send aggregated data only.

Why does Ask Zia give a different number from my report?

Usually it picked a different column, date field or filter. Check the report's settings, then fix the synonym, column priority or table join so it chooses correctly next time.

Can I ask Ask Zia questions in Arabic or Hindi?

Zoho's help describes questions in plain English and does not list other languages. Test in your account before planning around another language.

Do I need a data analyst to use Ask Zia?

Daily questions need no analyst. Someone with data skills should set up joins, synonyms and verified reports first, and review them when your data sources change.
