Zoho for schools, colleges and training institutes

By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

Schools, colleges and training institutes can run admissions in Zoho CRM, fees in Zoho Books, and student or parent portals in Zoho Creator, without buying a separate school ERP. Most start with admissions and fees, then add portals in a second phase.

Schools, colleges, coaching centres and training institutes have three recurring headaches: following up admission enquiries, collecting fees on time, and keeping parents or students informed. Zoho can handle all three without buying a separate school ERP, and it adapts to how your institution actually works.

Admissions CRM

  • Enquiries from website, ads, walk-ins and education portals captured in Zoho CRM
  • Counsellors assigned automatically by course, branch or language
  • Campus visit and counselling session scheduling
  • WhatsApp and email follow-ups sent from templates
  • Application status tracked from enquiry to enrolment

Fee collection

Zoho Books handles fee invoices, instalments, discounts and receipts. Recurring invoices suit monthly fees, and online payment links through Razorpay, Stripe or other gateways let parents pay from their phone. Overdue reminders go out automatically.

Student and parent portals

Zoho Creator can give parents or students a login to see fee dues, attendance, timetables and circulars. It can also collect forms such as consent slips or meal choices. We have built preschool admissions, recurring fees and staff portals this way for clients.

Scheduling and staff

Classes, batches and trainers can be scheduled in Zoho Creator or Zoho Bookings. Zoho People handles staff attendance and leave, and Zoho Payroll covers salaries where it is available.

Reports for management

  • Enquiry to enrolment conversion by source and course
  • Fee collected vs due by month and branch
  • Batch occupancy
  • Counsellor performance

Where to start

Most institutes start with the admissions CRM and fee collection, then add portals in a second phase. That gets value in the first admission season instead of waiting for a large system to be finished.

Different institutes, different setups

  • Preschools: admissions, recurring monthly fees, meal and consent forms, parent portal
  • K-12 schools: admissions by grade, term fees with sibling discounts, transport fees
  • Colleges: multi-course applications, scholarship rules, hostel fees
  • Coaching centres: batch scheduling, trial classes, instalment plans
  • Corporate training firms: B2B leads, course bookings, trainer schedules, invoices to companies

Data protection

Student data is sensitive. Set roles so counsellors see only their leads, restrict access to documents, and keep parent portals limited to their own child's records. Check the rules that apply where you operate, such as India's DPDP Act or GDPR in the UK and Europe.

Yes. Zoho Books invoices can include payment links through supported gateways.

Is Zoho suitable for coaching centres with many batches?

Yes. Batches, schedules and attendance can be managed in a Zoho Creator app.

Yes. Leads and counsellors can be separated by branch with branch-level reports.

Can we send circulars on WhatsApp?

Yes, using approved WhatsApp templates sent from Zoho.

Can you migrate our existing student data?

Yes. Student, parent and fee data can be imported from spreadsheets or your current system.

Have you built this before?

Yes. Our case studies include preschool admissions with recurring invoices and a parent payments sync between Zoho Creator and Zoho Books.
