Zoho One
Zoho for Construction Contractors in the USA: A 2027 Setup Guide
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
Zoho can run most of the office side of a US contracting business. Zoho CRM tracks bids, Zoho Projects plans jobs and logs time, Zoho Books handles progress invoices, retention and job profitability, and Zoho FSM covers field crews. It is not a full construction ERP, so check complex AIA-style billing needs before you commit.

This guide is for owners and office managers at US general contractors and specialty trade firms, such as electrical, mechanical, concrete or framing subcontractors. If you run residential home services, see our separate post on that. Here you will learn which Zoho apps fit a contracting business, how a bid becomes a job, an invoice and a payment inside Zoho, where progress billing and retainage stand today, which integrations US contractors commonly add, and how long a rollout usually takes.
Which Zoho apps does a construction contractor actually need?
Most contractors need four apps: Zoho CRM for bids and clients, Zoho Projects for job schedules and time, Zoho Books for invoicing and job costing, and Zoho FSM if you dispatch crews or service techs. Zoho One bundles these with many other apps, so a firm using three or more often compares Zoho One against separate licences. Check Zoho's pricing page for your region before deciding.
Add Zoho Sign for signed proposals and change orders, Zoho WorkDrive for drawings and submittals, and Zoho Analytics if you want backlog and margin dashboards across jobs. Zoho Creator fills gaps, such as a daily log or safety inspection app built around your own forms.
- Zoho CRM: bid pipeline, GC and owner contacts, bid due dates, win/loss reasons.
- Zoho Projects: Gantt schedules, milestones, task lists per phase, timesheets.
- Zoho Books: estimates, progress invoices, retention, bills from suppliers and subs.
- Zoho FSM: work orders, dispatch, mobile app for field staff, timesheets.
How does a bid turn into a job, an invoice and a payment in Zoho?
The flow follows the way you already work. A bid opportunity enters Zoho CRM, the estimate is built and sent, and an awarded bid becomes a project with its own budget. Invoices then draw from the accepted estimate as work is completed.
- Lead: an invitation to bid or a client inquiry is logged as a Deal in Zoho CRM with the bid due date and scope.
- Estimate: the estimate is prepared in Zoho Books (or CRM quotes) and sent for signature through Zoho Sign.
- Job: on award, a project is created in Zoho Projects with phases, milestones and a budget.
- Change orders: each change is logged as a revised or new estimate, signed, and added to the job value.
- Invoice: progress invoices are raised against the accepted estimate by percentage, amount or line item.
- Payment: clients pay through the Zoho Books portal by card or ACH where a payment gateway is connected.
- Reporting: project profitability in Zoho Books and dashboards in Zoho Analytics show margin by job.
Can Zoho Books handle progress billing and retainage?
Partly, and you should test it against your contracts. Zoho Books has a progress invoicing feature: once enabled, you invoice an accepted quote by a custom amount, a percentage or per line item, and the quote shows as partially invoiced until it is fully billed. Zoho notes that you cannot invoice directly from a quote already converted to a sales order.
Zoho Books also has a payment retention feature. You define a retention rate, apply it to an invoice, and Books sets aside that portion in a retention receivable account. You later raise a retention claim invoice to collect it. Zoho's help pages do not state which editions or countries include every feature, so confirm availability on your plan.
What Zoho does not advertise is a ready-made AIA G702/G703 style pay application. Many contractors produce a schedule of values from Zoho Books data with a custom template or a Zoho Creator app. If your clients require a specific pay application format, raise it during scoping.
Supplier and subcontractor retention works the same way on the payables side, because Zoho applies retention to bills as well as invoices. That lets you hold back an agreed share of a sub's bill until their scope is accepted.
How do contractors map daily work to Zoho apps?
The table below shows where each routine task usually lives. It is a starting point, and most firms adjust it during the discovery workshop.
| Daily work | Zoho app | Notes |
|---|---|---|
| Bid tracking and follow-up | Zoho CRM | Deals with bid due dates, stages and reasons lost |
| Estimates and proposals | Zoho Books, Zoho Sign | Signed estimates feed progress invoicing |
| Change orders | Zoho Books, Zoho Sign, Zoho Projects | Revised estimate plus signature, linked to the job |
| Subcontractor bills and POs | Zoho Books | Bills and purchase orders coded to the project |
| Scheduling and crew time | Zoho Projects, Zoho FSM | Gantt for phases, FSM for dispatch and mobile timesheets |
| Daily logs and safety checks | Zoho Creator | Custom mobile forms with photos |
| Progress billing and retention | Zoho Books | Progress invoices and retention claim invoices |
| Job costing and margin | Zoho Books, Zoho Analytics | Budget versus actual by project |
Zoho Projects can sync approved, billable time logs and projects to Zoho Books through the Zoho Finance integration. Zoho says this needs a Premium, Enterprise or Ultimate Projects plan and at least the Professional edition of Zoho Books, and budgets then show planned versus actual cost.
Which integrations do US contractors usually add?
Most US contractors add a payment processor, sales tax, and a phone system. Zoho Books lists Stripe, including Stripe ACH, as a payment option, and Zoho Books integrates with Avalara AvaTax for sales tax on materials. Zoho CRM has extensions for telephony providers such as RingCentral and Twilio.
If you already run Procore or another construction platform for drawings and RFIs, connect it via API or Zoho Flow so project and contact data stay in step. Firms moving off QuickBooks can follow our QuickBooks to Zoho Books migration route, and payroll often stays in Gusto, connected to Zoho CRM or Books.
How long does a Zoho rollout take for a contractor?
A Zoho CRM setup for bid tracking is usually live within two weeks. A multi-app rollout covering CRM, Projects, Books and FSM usually takes six to twelve weeks, depending on how many jobs and open balances you migrate, how many integrations you need, and how much custom billing work is involved.
We suggest going live in phases: CRM and estimates first, then Projects and Books for new jobs, then FSM. Open jobs can stay in your old system until they close, which keeps retention balances clean.
Training matters as much as configuration. Estimators, project managers and field leads each need a short session on the screens they use daily, and the office needs a written guide for change orders and retention claims. Plan a two-week period after go-live where questions are answered quickly, and keep a simple list of requests for the next phase instead of changing the setup every day.

Frequently asked questions
Is Zoho a construction ERP?
No. Zoho is a set of business apps that covers CRM, projects, accounting and field service. It handles much of a contractor's office work, but it is not built specifically for construction, so some billing formats need custom templates or apps.
Can subcontractors see their work orders on a phone?
Yes, if you use Zoho FSM. Field staff get job details, schedules and updates in the Zoho FSM mobile app. Outside subcontractors usually need a user licence or a custom portal.
Can we keep QuickBooks and only use Zoho CRM?
Yes. Zoho CRM has a QuickBooks extension, and many firms start with CRM for bids while keeping their accounting as is. You can move accounting to Zoho Books later.
Does Zoho track job profitability?
Zoho Books shows project profitability, and when Zoho Projects is connected, budgets compare planned and actual cost. Zoho Analytics can combine jobs into one margin view.
Do you work in our time zone?
Yes. We work remotely from Chennai, India, and schedule meetings and support during US business hours.
