By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
Import your old data into Zoho DataPrep, profile each column to find gaps and invalid values, remove duplicates, standardize formats with transforms and Cluster and Merge, and save the steps as a reusable ruleset. Then push clean data straight to Zoho CRM, or export files shaped for Zoho Books and Inventory imports, and test with a small batch first.

This how-to is for owners, operations managers and finance leads moving data from spreadsheets, an old CRM or an accounting system into Zoho CRM, Zoho Books or Zoho Inventory. You will learn how Zoho DataPrep profiles your data, how to remove duplicates and fix formats, how rulesets and pipelines let you repeat the cleanup on later extracts, how to send clean data to Zoho apps, and what to check before you load anything. Feature names follow Zoho's DataPrep help pages, which change as the product develops.
Why clean data before a Zoho migration rather than after?
Because bad data loaded once spreads fast. Duplicate customers break reports and sync links, invalid emails bounce, and mismatched tax or currency codes cause accounting errors that take far longer to fix inside Zoho than in a file.
Zoho DataPrep is Zoho's data preparation tool. You bring data in from files, databases, cloud storage or business apps, apply transforms without code, and send the result to a destination. That makes it a good staging area between your old system and your new Zoho apps. If you are planning the wider move, our data migration service page explains how we run full migrations.
What does Zoho DataPrep do at each stage of the cleanup?
It covers four jobs: profiling, cleaning, repeating and loading. The table maps each to the DataPrep feature that handles it, as described on Zoho's product and help pages.
Profiling comes first because it tells you how big the job is. A column that is mostly blank needs a business decision, such as whether to drop it or ask a team to fill it, not a transform.
| Job | DataPrep feature | What to use it for |
|---|---|---|
| Profile | Data quality and data distribution views | Spot missing and invalid values, outliers and text patterns per column |
| Dedupe | Deduplicate transform | Remove duplicate rows, or duplicates on chosen columns, with ignore case and whitespace options |
| Standardize | Cluster and Merge, plus 250+ transforms | Group spelling variants of one value and replace them with a single standard |
| Validate | Data types, including custom data types | Flag values such as emails or codes that do not match the expected pattern |
| Repeat | Rulesets and ruleset templates | Save every step and apply it to the next extract |
| Automate | Pipelines and schedules | Run import, cleanup and export on a timetable |
| Load | Export destinations | Push to Zoho CRM, Bigin, Creator or Analytics, or export files |
How do you clean data in Zoho DataPrep, step by step?
Work through one entity at a time, such as customers first, then contacts, then items, then open transactions. The steps below assume a customer list headed for Zoho CRM and Zoho Books.
- Create a pipeline and import your source file or connect to your old database or app.
- Check the data quality bar and data distribution for each column. Note blank required fields, invalid values and odd patterns.
- Set the right data type for key columns, such as email, phone, date and currency, so invalid values are flagged.
- Trim spaces, fix capitalization and split or merge columns, for example full name into first and last name.
- Run Cluster and Merge on fields such as country, state, industry and payment terms to collapse spelling variants into one value.
- Run Deduplicate on email or company name with ignore case and ignore whitespace switched on. Use the flag option first to review duplicates before removing them.
- Convert dates and number formats into the formats your target Zoho app accepts.
- Map column names to the target fields, then run target matching to catch type, size and mandatory field errors.
- Save the ruleset as a template so you can apply it to the final extract on cutover day.
Zoho's Cluster and Merge help lists Metaphone, Fingerprint and n-gram methods and notes a limit of 300 clusters per dataset, so work through large columns in passes.
How do you get clean data into Zoho CRM, Books and Inventory?
For Zoho CRM, DataPrep can export directly. Zoho's help says the CRM connector supports adding only new records, updating existing records, an upsert of both, and deleting records you mark. Matching for updates defaults to the CRM ID for data that came from CRM. Zoho also lists a limit of 600,000 records per export, notes that workflow rules do not fire by default, and says rollback applies only to the latest export.
Zoho Books and Zoho Inventory are not listed among DataPrep's export destinations on Zoho's export page at the time of writing. For those, export a clean CSV or XLSX from DataPrep, shaped to the column headings in the Books or Inventory import template, and load it through the app's own import screen. Check the destination list in your account, because Zoho adds connectors over time.
For moves from QuickBooks or Xero, see our QuickBooks to Zoho Books migration checklist, which covers balances and open transactions.
What should a pre-migration data checklist include?
A checklist turns cleanup into something you can sign off. Run it on every entity before the final load, and keep the results with your migration notes.
- Every record has a unique key, such as a legacy ID, that you keep in a Zoho custom field.
- No duplicate customers, contacts, vendors or items remain on the agreed match fields.
- Required fields in the target app are filled for every record.
- Emails, phones, dates, currencies and tax codes pass type checks.
- Picklist values match the options set up in the target Zoho app exactly.
- Parent records load before children: accounts before contacts, items before transactions.
- A test batch of 50 to 100 records has been loaded, checked by a user and removed.
- Record counts and totals from the old system match the clean file.
Give each checklist item an owner and a sign-off date. Sales should confirm customer and contact data, finance should confirm customers, vendors, tax codes and balances, and operations should confirm items and units. If an item fails, fix it in the DataPrep ruleset, not by hand in the file, so the same fix applies automatically to the final extract on cutover day.
When is DataPrep the right tool, and when is it not?
DataPrep suits migrations with messy data from several sources, repeat extracts during a parallel run, or cleanup that business staff need to review without code. A ruleset saved once can be reused on the final cutover file, which reduces last-minute surprises.
For a small, tidy spreadsheet, the import tool inside Zoho CRM or Books may be enough. For complex accounting history, such as open invoices with partial payments, you may still need scripted loads or a specialist migration tool. DataPrep cleans the data; it does not decide your opening balances.

Frequently asked questions
Can Zoho DataPrep load data straight into Zoho CRM?
Yes. DataPrep's Zoho CRM connector can add, update, upsert or delete records, with matching on the CRM ID for data that came from CRM.
Can DataPrep export directly to Zoho Books?
Zoho Books is not listed among DataPrep's export destinations on Zoho's page at the time of writing. Export a clean file and use the Books import screen, and check your account for newer connectors.
Does DataPrep find near-duplicates, such as misspelled company names?
Deduplicate matches on values with options to ignore case and whitespace. Cluster and Merge uses fuzzy methods to group spelling variants, so run it first and then deduplicate.
Can I reuse my cleanup steps on a later extract?
Yes. DataPrep stores each transform as a rule in a ruleset, and you can save the ruleset as a template and apply it to another dataset.
Will a DataPrep export trigger my Zoho CRM workflow rules?
Not by default. Zoho's help says workflow triggers are not supported by default for CRM exports and can be enabled on request.
