Zoho CRM Quotes and Price Books: Setup, Volume Discounts and CPQ in 2027
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
Zoho CRM quotes and price books let reps build quotes from your Products list using the list prices and volume discounts in a price book, then convert an accepted quote into a sales order or invoice. Zoho places these modules on Professional and higher. CPQ adds a product configurator and price rules for bundles, add-ons and conditional pricing.

This guide is for sales managers, operations leads and finance teams who want accurate quotes out of Zoho CRM without reps editing prices by hand. You will see how products, price books, quotes, sales orders and invoices fit together, which editions include each piece and the CPQ limits Zoho publishes, a worked example of flat and differential discounts, a setup sequence, what the CPQ product configurator and price rules add, and how to decide whether invoices should live in Zoho CRM or Zoho Books.
How do quotes and price books work in Zoho CRM?
The chain starts with the Products module, where each product has its standard unit price. A price book is a named list of products with their own list prices, for example Distributor 2027 or Education Pricing. Each price book has a pricing model: None, Flat discount or Differential discount, with quantity ranges and a discount percentage for each range.
When a rep creates a quote in the Quotes module, they add products under Quoted Items and use the Price Book lookup to apply the right list price and discount. Once the customer accepts, the rep opens the quote, clicks Convert and chooses Sales Order or Invoice. Zoho also supports Mass Convert from the Quotes list view.
These modules belong to what Zoho calls inventory management in CRM, together with Vendors and Purchase Orders. They are not a stock control system. For stock levels and warehouses, Zoho Inventory is the right tool.
A typical flow for a B2B distributor looks like this: a deal reaches Proposal, the rep creates a quote from the deal using the Trade price book, the customer signs, the quote becomes a sales order for operations, and the invoice is raised in the accounting system. Each step keeps the same line items, so nobody retypes prices.
Which Zoho CRM edition do you need for quotes, price books and CPQ?
Zoho's pricing page lists inventory management and CPQ from the Professional edition. Approval processes appear on Enterprise and Ultimate. The limits below come from Zoho's comparison page; check it again before you buy, because figures change.
| Feature | Professional | Enterprise | Ultimate |
|---|---|---|---|
| Products, Price Books, Quotes, Sales Orders, Invoices, Inventory Templates | Included | Included | Included |
| CPQ product configurations (per organization) | 10 | 50 | 100 |
| CPQ price rules (per organization) | 10 | 50 | 100 |
| Guided selling flows (per organization) | 25 | 50 | 100 |
| Approval processes | Not included | Up to 10 active per module | Up to 50 active per module |
| Active currencies | 10 | 25 | 50 |
Zoho also notes that some CPQ functions are released in phases and may only be visible to some accounts, so confirm what your account shows before you design around it.
Flat or differential discount: which pricing model should a price book use?
Both models use quantity ranges. A flat discount applies the rate of the range the total quantity falls into to every unit. A differential discount works in slabs, so each portion of the quantity gets the rate for its own range. Zoho's help includes a chart comparing the two.
Take a product with a list price of 100 and these ranges: 1 to 10 units at 0 percent, 11 to 50 at 5 percent and 51 or more at 10 percent. For an order of 60 units, the two models give different totals.
| Model | How the discount is applied | Line total |
|---|---|---|
| Flat discount | All 60 units get 10 percent off (60 x 90) | 5,400 |
| Differential discount | 10 units at 100, 40 units at 95, 10 units at 90 | 5,700 |
| No discount | 60 units at the list price | 6,000 |
Use flat discounts when you publish simple volume bands to customers. Use differential discounts when you want bigger orders rewarded without giving the top rate on every unit. Test both on a sample quote before you share price lists.
How do you set up Zoho CRM quotes and price books step by step?
Clean product data matters more than any setting. Fix it first, then build in this order.
- Clean the Products module: one record per sellable item, a unique product code, unit price, tax and an active flag.
- In the Price Books module, click New Price Book, enter a name, tick Active and choose the pricing model.
- For flat or differential models, enter From Range, To Range and Discount (%) for each band.
- Associate products with the price book and set each list price. If you clone a price book, Zoho says you must associate products and update list prices again.
- Customize the Quotes layout with the fields your customers need, such as validity date and payment terms.
- Build an inventory template so quotes go out as branded PDFs.
- On Enterprise or Ultimate, add an approval process for discounts above your limit.
- Test a full cycle: quote, convert to sales order, convert to invoice, and check totals and taxes.
Decide early who may edit price books. In most companies only sales operations or finance should change list prices, while reps can only pick a price book on a quote. Set this through profile permissions for the Price Books module, and review price books at least once a year so expired lists are marked inactive.
What does Zoho CRM CPQ add on top of price books?
CPQ, short for configure, price, quote, adds two rule engines. The product configurator reacts when a rep adds a primary product. It can add a mandatory product, suggest a product, update a quoted item field, mark an add-on as free, and set the add-on's quantity from the primary item, for example two batteries for every wall clock.
Price rules handle conditional pricing. Zoho offers direct discount, direct list price, volume-based discount and volume-based list price, each as a percentage or an absolute value. If several rules match a product, only the first rule in the sequence applies, and a price rule overrides a free-product setting in the configurator.
Zoho says CPQ rules can run on Quotes, Sales Orders, Purchase Orders, Invoices and custom modules with line-item subforms, and that standard CRM rules run before CPQ rules. Keep price books as your base list and use CPQ for exceptions, or the two will be hard to audit.
Should invoices live in Zoho CRM or Zoho Books?
Keep quotes in Zoho CRM, where sales works. For invoices, most companies are better served by Zoho Books, which handles payments, tax returns and accounting. The built-in integration syncs customers, items, quotes and invoices; our answer on integrating Zoho CRM with Zoho Books explains the choices. If you sell in several currencies, set up currencies in both apps before you build price books.
CRM invoices still suit teams that only need a record of what was billed, with accounting elsewhere. Pick one system as the source of truth for invoice numbers. If renewals or service contracts follow a sale, our answer on turning a sales order into a contract shows a common pattern.

Frequently asked questions
Can a Zoho CRM quote be turned into an invoice?
Yes. Open the quote, click Convert and choose Sales Order or Invoice. You can also convert several quotes at once with Mass Convert from the list view.
Do I need CPQ to offer volume discounts?
Not always. A price book with a flat or differential pricing model covers simple quantity bands. CPQ helps when prices depend on conditions, bundles or add-ons.
Which Zoho CRM edition includes quotes and price books?
Zoho lists them from the Professional edition upward. They are not on the Free or Standard editions, according to Zoho's current comparison page.
Can CPQ rules run on custom modules?
Zoho says the product configurator and price rules can be set up for default and custom modules, including custom line-item subforms such as accessories or spare parts.
Can I stop reps giving discounts above a limit?
On Enterprise and Ultimate you can add an approval process so quotes above a set discount wait for a manager. On lower editions, a workflow alert to a manager is a common workaround.
