A Salesforce to Zoho CRM migration moves your records, relationships and history, then rebuilds your automation in Zoho. With Flowpeak it starts from ₹75,000 or USD 800 for a standard data set and usually takes three to six weeks.

Most companies move from Salesforce to Zoho CRM for cost, but the migration itself is where projects succeed or fail. Data that lands in the wrong module, lost activity history or broken automation can undo the savings. This checklist follows the order we use on real migrations.
1. Decide what is worth moving
Not everything in Salesforce deserves a place in Zoho. Before exporting, agree with your sales and finance leads which records matter: usually open opportunities, active accounts and contacts, recent activities and the last two or three years of closed deals. Old, unowned leads are often better archived than migrated.
2. Map Salesforce objects to Zoho modules
- Leads to Leads, Accounts to Accounts, Contacts to Contacts
- Opportunities to Deals, with stages mapped one by one
- Tasks, Events and Calls to Zoho Activities
- Products, Price Books and Quotes to their Zoho equivalents
- Custom objects to Zoho custom modules
- Record owners to Zoho users, so ownership is kept
Field mapping reference
Use this as a starting map. Your own org will have custom fields and objects to add.
| Salesforce | Zoho CRM | Notes |
|---|---|---|
| Lead | Leads | Lead Status and Lead Source picklists must be matched value by value |
| Account | Accounts | Parent Account becomes the Parent Account lookup |
| Contact | Contacts | Linked to Account using the original Salesforce IDs |
| Opportunity | Deals | Stage values and probabilities mapped one by one |
| Task / Event | Tasks / Meetings | Linked to the related record and owner |
| Case | Cases (or Zoho Desk tickets) | Move to Zoho Desk if support runs there |
| Product / Price Book | Products / Price Books | Check currencies if you sell in several |
| Quote | Quotes | Line items need products imported first |
| Campaign | Campaigns | Campaign members become related contacts |
| Custom object | Custom module | Lookups rebuilt after both sides are imported |
3. Export and clean the data
Use the Salesforce Data Export service or Data Loader to export each object with its record ID. Keep those IDs, because they are what lets you rebuild the links between accounts, contacts and deals in Zoho.
Clean before you import: merge duplicates, fix picklist values that no longer exist, and standardise phone numbers and country names.
4. Rebuild automation instead of copying it
Salesforce Flows, Process Builder rules and Apex code do not transfer. List each automation, decide whether you still need it, and rebuild it with Zoho workflow rules, Blueprints, assignment rules or Deluge functions. This is also a good time to drop automation nobody uses.
What to rebuild, and with what
| In Salesforce | Rebuild in Zoho with |
|---|---|
| Validation rules | Validation rules or Deluge on save |
| Assignment rules | Assignment rules |
| Flows and Process Builder | Workflow rules, Blueprint or CommandCenter |
| Approval processes | Approval processes or Blueprint approvals |
| Apex triggers and classes | Deluge functions |
| Reports and dashboards | Zoho CRM reports, or Zoho Analytics for complex ones |
| Email templates | Zoho CRM email templates |
5. Import in the right order
- Users and roles first
- Accounts, then Contacts linked to Accounts
- Deals linked to Accounts and Contacts
- Activities, notes and attachments last
- Run a sample import of 50 to 100 records before the full load
6. Test, train and cut over
Ask two or three users to check their own records in Zoho against Salesforce. Train the team on the new layouts, then pick a cut-over date, freeze changes in Salesforce, run a final delta import and switch everyone over. Keep Salesforce read-only for a short period as a safety net.
Cost and timeline
A Salesforce to Zoho CRM migration with Flowpeak starts from ₹75,000 or USD 800 for a standard data set. Most projects take three to six weeks depending on data volume and the automation to rebuild.
Typical timeline
| Week | Work |
|---|---|
| 1 | Discovery, data audit, mapping sheet signed off |
| 2 | Zoho setup: modules, fields, layouts, users, roles |
| 3 | Test import of a sample; fix mapping |
| 4 | Rebuild automation and reports |
| 5 | Full import, user testing, training |
| 6 | Cut-over, delta import, support |
Small orgs with clean data can finish in three weeks. Orgs with many custom objects, attachments or integrations take longer.
Common migration mistakes
- Not exporting Salesforce record IDs, which breaks links between accounts, contacts and deals
- Importing activities before their parent records exist
- Mapping picklist values loosely, so reports in Zoho do not match
- Forgetting attachments and email history until after cut-over
- Switching off Salesforce before users have checked their own data
- Cancelling the Salesforce contract before the final export is safely stored

Frequently asked questions
Can I keep my Salesforce activity history in Zoho CRM?
Yes. Tasks, events, calls and notes can be migrated and linked to the right records, as long as the original Salesforce record IDs are exported.
Will my Salesforce automation move automatically?
No. Flows and Apex need to be rebuilt in Zoho using workflow rules, Blueprints or Deluge functions.
How long does a Salesforce to Zoho migration take?
Usually three to six weeks, including testing and training.
Can attachments and emails be migrated from Salesforce?
Yes. Files, notes and logged emails can be moved and linked to the right records. Volume affects time and cost.
Do we need to keep Salesforce running during the migration?
Yes, until cut-over. Users keep working in Salesforce while Zoho is set up and tested.
Will our reports look the same in Zoho?
Reports are rebuilt. Most standard sales reports map directly; complex ones may move to Zoho Analytics.
What does the migration cost?
From ₹75,000 or USD 800 for a standard data set with Flowpeak. Large data volumes and extra automation are quoted after a data audit.
Can you migrate Salesforce custom objects?
Yes. Custom objects become custom modules in Zoho CRM, with lookups rebuilt after import.
Is our data safe during migration?
We work from your exports, keep access limited to the project team, and remove our copies after sign-off.
Can we migrate in phases?
Yes. Some teams move sales first and service later.
