Zoho WorkDrive vs SharePoint vs Google Drive: which should you use?

Use Google Drive if your team works in Google Docs and Gmail. Use SharePoint if you run on Microsoft 365 and need intranet sites and deep Office integration. Use Zoho WorkDrive if you run on Zoho, because it connects natively with Zoho CRM, Desk and other Zoho apps and includes its own document editors.

Google Drive is simple, fast and familiar. Shared drives give teams common folders, and Docs, Sheets and Slides offer excellent real-time co-editing. It is the natural choice for companies already on Google Workspace. Its document management controls are lighter than SharePoint's.

SharePoint is the most powerful of the three for document management. It offers metadata, versioning, retention policies, intranet sites and tight links with Teams, Outlook and Office apps. It suits larger organisations with IT support. The trade-off is complexity: SharePoint needs planning and admin effort to stay tidy.

Zoho WorkDrive offers team folders, granular permissions, external sharing links with passwords and expiry, file versioning, activity reports and desktop sync. It includes Zoho's Writer, Sheet and Show editors. Its main advantage is native links with Zoho CRM, Desk, Projects and Sign, so files attached in CRM are stored in WorkDrive. It is included in Zoho One.

On GDPR: Zoho publishes a GDPR page for WorkDrive explaining how its features support data subject rights, and Zoho offers a Data Processing Addendum on request. Files are encrypted at rest with AES-256. EU customers can sign up on Zoho's EU data centre. As with any provider, GDPR compliance also depends on how you configure access and retention.
