How do I move from standalone Zoho apps to Zoho One without losing data?

Moving to Zoho One is mainly a licensing change, so data in apps that sit in the same Zoho organisation stays where it is. The risk is apps created under different accounts or organisations. Before upgrading, list every app, which account and organisation owns it, and its admin. Then consolidate users and, if needed, ask Zoho support about merging organisations.

When you subscribe to Zoho One, your existing apps become part of the bundle and keep their data. Problems appear when apps were set up separately over time, for example CRM created by sales under one email and Books by the accountant under another. Each may live in a different Zoho organisation, and Zoho One expects a single organisation with one directory of users.

Start with an inventory. List every Zoho app in use, the account that owns it, the organisation name and ID, the data centre, the admins and the number of users. Check that all apps use the same data centre region. Then decide which organisation becomes the main one.

Apps in other organisations may need to be moved or merged, which Zoho support can help with for supported apps. Take full backups of each app before any change. Align users in the Zoho One directory, set up single sign-on if needed, then switch billing. Re-check integrations between apps afterwards, since connections can point at the old organisation.

If you would rather have this planned for you, Flowpeak can audit your current Zoho accounts, plan the consolidation with Zoho support and check every integration afterwards, so nothing is lost in the move. The work is paid by milestone, and you get 30 days of free fixes after go-live.

Common questions

Will my standalone subscriptions be refunded?

Zoho usually adjusts or cancels standalone plans when you move to Zoho One, so ask billing support how credits are handled.

Do all users need Zoho One licences?

Zoho One has its own licensing rules for employees, so check the current terms before planning user counts.
