Can ChatGPT do my bookkeeping?

Not on its own. ChatGPT can explain accounting rules, draft formulas and help categorise a pasted list of transactions, but it is not a ledger, does not connect to your bank by default and can make confident mistakes. Use accounting software with built-in AI for the records, and keep an accountant for review.

ChatGPT and similar AI chat tools are useful helpers for bookkeeping questions. They can explain the difference between cash and accrual accounting, suggest which account an expense belongs in, write a spreadsheet formula, summarise a bank statement you paste in, or draft an email chasing an overdue invoice. For a small business owner learning the basics, that saves time.

What they cannot do reliably is keep your books. A chat tool does not hold a double-entry ledger, does not reconcile your bank account month after month, and does not file tax returns. It can also produce wrong numbers or wrong tax rules with full confidence, and it may not know the latest rules in your country. Pasting bank data into a general chat tool also raises privacy questions you should check against your provider's terms.

Accounting software is adding AI inside the ledger, which is safer because the AI works on real records. In Zoho Books, Zoho's help pages describe Zia features such as Ask Zia, a chat assistant that can create transactions and pull figures, report forecasting and anomaly detection, AI-suggested bank categorisation (in early access at the time of writing) and invoice insights on late payers. You choose the AI provider and model in settings.

You still need a person who understands accounting. AI can speed up data entry and spot oddities, but someone must check categorisation, approve adjustments, handle year-end and sign off tax filings. For most small businesses the sensible mix is: accounting software for the records, AI features for speed, and an accountant or bookkeeper for review.

Key points

  • ChatGPT can explain, draft and categorise, but is not a ledger
  • It can be confidently wrong on numbers and tax rules
  • Check privacy terms before pasting financial data
  • Zoho Books has Zia features such as Ask Zia and anomaly detection
  • An accountant is still needed for review and tax filing

Common questions

Can AI replace my accountant?

No. AI speeds up data entry and flags unusual items, but an accountant is still needed to review the books, handle year-end adjustments and sign off tax returns.

What AI features does Zoho Books have?

Zoho's help pages list Ask Zia, a CoCreate agent that builds invoices and quotes from plain-language prompts, report forecasting, anomaly detection and AI-suggested bank categorisation, some of them in early access.

Is it safe to paste bank statements into ChatGPT?

Check the provider's data and privacy terms first, and remove account numbers. AI built into your accounting software keeps the work inside a system you already trust with that data.
