By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

In Zoho Books, create a recurring invoice profile for each repeat customer and choose whether invoices are created as drafts, created and sent, or created, charged and sent to a saved card or bank account. Then switch on automated payment reminders, late fees and the customer portal so overdue balances are chased without manual emails.

This guide is for businesses that bill the same customers every month or quarter, such as managed service providers, agencies, maintenance contractors and B2B suppliers, and want Zoho Books to do the chasing. You will learn how recurring invoice profiles work, how to auto-charge cards and direct debits through a payment gateway, how to set reminders and late fees, what customers can do in the portal, and the points that differ by country.

How do recurring invoices work in Zoho Books?

A recurring invoice is a profile, not an invoice. You set the customer, items, frequency, start date and end date or no end, and Zoho Books generates a child invoice on each cycle. Changes to the profile apply to future invoices only.

Each profile follows one of three behaviours. You set a default for the organisation in the recurring invoice preferences and can override it per profile.

Recurring invoice options in Zoho Books
OptionWhat happensUse when
Create as DraftsInvoice is saved as a draft for you to review and sendAmounts vary or need checking
Create and SendInvoice is generated and emailed automaticallyFixed fees paid by bank transfer
Create, Charge and SendSaved card or bank account is charged, then the invoice is sentCustomers who agreed to auto-pay

With Create and Send or Create, Charge and Send, you can also auto-apply excess payments and credit notes before sending. Excess payments are applied first, then credit notes, which saves manual allocation at month end.

How do you auto-charge customers through a payment gateway?

First connect a payment gateway in Zoho Books. Then the customer needs a saved payment method linked to the recurring profile. A card saved only on the contact will not trigger auto-charging; it must be associated with the profile.

  1. Connect a gateway such as Stripe, PayPal, Authorize.Net, Braintree or Zoho Payments, depending on your country.
  2. Set the recurring invoice preference to Create, Charge and Send.
  3. Ask the customer to pay the first invoice in the portal and tick Use this card for future transactions, or add the card from the contact.
  4. On the recurring profile, use Associate Credit Card or Associate Direct Debit.
  5. Choose what happens on success, such as a thank-you note with the invoice.
  6. Configure failure handling: notify, notify and retry, or retry silently, with up to three retries at intervals you set.
  7. Decide whether to suspend the profile after the final failed retry.

Zoho's documentation names GoCardless for direct debit and mentions card and ACH payments. Gateway coverage varies by region, so check the integrations page for your edition before promising customers a payment method.

How do you set up automated payment reminders?

Reminders are configured in Settings under Reminders. Zoho Books includes three automated reminders based on the due date by default. Each can go before or after the due date, at an interval you choose, to you, the customer or both.

A sensible pattern is a friendly note a few days before the due date, a reminder on the due date and a firmer one after it passes. You can edit the wording and insert placeholders such as the invoice number and balance due.

If a customer tells you when they will pay, set the expected payment date on the invoice and suppress the regular reminders until then. That avoids annoying a customer who has already replied. Manual reminders are still available from any invoice through Reminders > Send Now.

How do late fees work in Zoho Books?

Late fees are switched on in the invoice settings. You choose a percentage of the amount due or a fixed amount, and how many days after the due date the fee applies. Zoho Books then raises the fee as a separate invoice with an LF prefix, rather than changing the original invoice.

By default late fee invoices are generated and sent automatically. You can tick the option to create them as drafts so someone reviews each one first, which is wise when you start. Fees post to a Late Fee Income account by default, and you can exclude individual customers, for example a key account with agreed terms.

What can customers do in the portal and with statements?

The customer portal gives each customer a login to view and pay invoices, save cards for future payments, accept or decline quotes, view sales orders, approve timesheets and comment on transactions. Customers can also generate their own statement of accounts for a date range and download or print it.

You can send statements from the customer record at any time. Zoho Books does not schedule statements on its own; Zoho has published an approach that uses a custom function and a workflow rule to send them automatically, which needs some Deluge scripting.

What differs by country?

  • USA: Zoho Payments, Stripe, Authorize.Net and CSG Forte are listed for the US, and ACH payments are referenced in Zoho's recurring invoice help.
  • Canada: Stripe, Authorize.Net, Braintree and CSG Forte are among the gateways listed for Canada. Make sure GST/HST and PST are set on recurring items.
  • UK and EU: direct debit through GoCardless suits monthly B2B billing. UK law allows statutory interest on late commercial payments, so check your contract terms and take advice before adding late fees.
  • UAE and Saudi Arabia: confirm which gateways your edition supports. Recurring invoices still need to meet VAT invoice rules, and Saudi invoices must follow ZATCA e-invoicing.
  • India: Zoho Payments is listed for India. Recurring invoices follow your GST and e-invoicing settings, so test one cycle before going live.

What should you plan before you switch it on?

  • Customer consent for auto-charging, in your contract or sign-up form.
  • Which customers get late fees and which are excluded.
  • Reminder wording that matches your brand and payment terms.
  • Whether approvals are on, because approved invoices change how recurring profiles behave.
  • Whether you really need Zoho Billing instead, if you sell plans, add-ons, usage pricing or need dunning across many subscribers.

Flowpeak sets up recurring billing, gateways, reminders and portals in Zoho Books for clients across our markets, working remotely from Chennai. We test a full billing cycle, including a failed card, before you go live. Work is quoted in writing after a free scoping call.

Frequently asked questions

What happens if an auto-charge fails in Zoho Books?

It depends on your failure settings. You can notify the customer, notify and retry, or retry without notifying, with up to three retries at intervals you choose. After the final failure you can suspend the recurring profile, and you can still charge another card or record an offline payment on the invoice.

Can I edit a recurring invoice after it has started?

Yes. Edit the recurring profile and the changes apply to invoices generated from then on. Invoices already created are not changed, so correct those individually with a credit note or by editing them before payment, depending on your controls.

Should I use Zoho Books or Zoho Billing for recurring revenue?

Zoho Books recurring invoices suit a manageable number of customers on fixed fees. Zoho Billing is built for subscription businesses that need plans, add-ons, trials, usage-based pricing, proration and subscription metrics. Many businesses start in Books and move to Billing as their subscriber count grows.

Can customers pay late fees through the portal?

Yes. A late fee is a separate invoice, so customers can pay it alone through the portal or payment link. If you send a payment link that includes the late fee, they can pay the original invoice and fee together, and a fee already paid is left off the payment page.

Can reminders go to more than one contact at a customer?

Reminders go to the contact persons set on the invoice, so add the accounts payable contact as well as your main contact. Reminders can also be copied to you, which helps your team see what customers received before they call about an overdue balance.
