Should I use Zoho Creator or an external SQL database like MySQL for my app?

Use Zoho Creator's built-in database when your app is mostly forms, workflows, approvals and reports for a known group of users. Choose an external SQL database when you need heavy data volumes, complex queries and joins, strict control over the schema, or the data must be shared with many other systems. Some apps use both, with Creator as the front end calling the external database.

Creator stores data in forms that behave like tables, with lookups for relationships. You get the user interface, permissions, mobile app, workflows and reports without managing a server. For internal tools like order tracking, inspections or approvals, that saves a lot of time. The trade-offs are record limits by plan, Deluge script limits, and querying that is simpler than full SQL.

An external database such as MySQL or PostgreSQL makes sense when you have millions of rows, need complex reporting queries, have a team that already manages databases, or have several applications reading and writing the same data. You then build the user interface and access control yourself or with another tool, which costs more to build and maintain.

A hybrid can work. Creator can call an external database through an API layer, often built on Zoho Catalyst or your own server, to read or write data. This keeps the friendly interface while the main data sits elsewhere. It adds moving parts, so only do it when the volume or integration needs really require it. Zoho Analytics can also pull data from both for reporting.

If you would rather have the architecture reviewed before you build, Flowpeak Consulting can look at your data volumes, users and integrations and recommend the simplest setup that will still hold up as you grow. That review usually takes one call and a look at your forms and expected volumes.

Key points

  • Estimate records per year and how long you must keep them.
  • List the queries and reports you need and how complex they are.
  • Count how many other systems need the same data.
  • Check Creator record limits on the plan you would use.
  • Consider a hybrid only if volume or integration demands it.

Common questions

Can Zoho Creator connect directly to MySQL?

Usually through an API layer rather than a direct database connection. Zoho Catalyst or a small middleware service is a common choice.

Is Creator's database secure enough for business data?

Creator includes role-based permissions, encryption options and audit logs. Review the security features on your plan.
