Zoho ERP readiness checklist
Run through this list before you choose modules or a partner. If most items are ticked, you are ready to start; the gaps tell you what to fix first.
1. Business case
- Write the three problems an ERP must solve (for example stock mismatch, late invoices, no single view of orders)
- Name an executive sponsor and a day-to-day project owner
- Agree what is in scope: finance, stock, purchasing, sales, production, service
- Set a realistic go-live window that avoids your busiest season
- Decide how success will be measured after 90 days
2. Processes
- Draw the order-to-cash flow from enquiry to payment
- Draw the procure-to-pay flow from requisition to vendor payment
- List every approval and who gives it
- Note where work still happens on spreadsheets or paper
- List exceptions that happen often, such as part shipments or returns
3. Master data
- Item and service list with units, tax codes and prices
- Customer and vendor lists cleaned of duplicates
- Chart of accounts and opening balances agreed with your accountant
- Warehouse and location structure
- Bill of materials for items you make, if any
4. Systems and integrations
- List current tools: accounting, billing, e-commerce, payroll, CRM
- Mark which tools stay and which are replaced
- Note payment gateways, couriers and marketplaces to connect
- Decide which Zoho apps cover each need (Books, Inventory, CRM, Creator, Analytics)
- Check tax and compliance needs for each country you sell in
5. People and rollout
- Pick one key user per department
- Plan training time for each role
- Decide the cut-over date for stock and balances
- Plan a short parallel run before switching off the old system
- Agree who handles support in the first month
