How do I customise pipelines and deal stages for different sales processes in Zoho CRM?
In Zoho CRM you edit deal stages in the Deals module's stage field and stage-probability settings, and on editions that support it you create multiple pipelines, each with its own stages, usually tied to a separate layout. Use one pipeline per genuinely different sales process, such as new business and renewals, and keep stage names short and based on buyer actions.

A pipeline is a set of stages a deal moves through. Zoho CRM lets you edit stage names, order and probability, and mark which stages count as closed won or closed lost. On editions with multiple pipelines, you create a pipeline per process and link it to a layout, so a renewal deal shows renewal fields and stages while a new business deal shows its own.
Design before you click. Each stage should describe something the buyer has done, such as demo attended or proposal accepted, not something the rep hopes. Five to seven stages is usually enough. Add required fields per stage with validation rules or a Blueprint if you need discipline, for example a budget amount before proposal stage.
Changing stages on a live system needs care. Existing deals in a renamed or removed stage must be mapped to a new one, and reports, workflows and forecast settings that reference old stages will need updating. Test in the sandbox if your edition has one. Check the current Zoho help page for the pipeline limits of your edition, since they differ.
Key points
- List your sales processes and agree which truly need separate pipelines.
- Define five to seven stages per pipeline based on buyer actions.
- Create layouts and pipelines, and set stage probabilities and closed stages.
- Add stage rules with validation or Blueprint where discipline matters.
- Update reports, workflows and forecasts that reference old stages.
Common questions
Can one deal move between pipelines?
Yes, a deal can be changed to another pipeline, and you then pick a stage from the new pipeline.
Do multiple pipelines need multiple layouts?
Usually each pipeline is linked to a layout, so plan layouts and pipelines together.
