Zoho go-live and user acceptance testing checklist
Use this for any Zoho rollout, whether CRM, Books, Inventory, People or a custom Creator app. It keeps launch week calm.
1. Before testing
- Freeze scope: new requests go to a later phase
- Load a copy of real data into the test environment
- Write test cases for each key process, with expected results
- Name the testers from each department
2. User acceptance testing
- Run each test case and record pass or fail
- Test every role: manager, user, read-only, external
- Test approvals, notifications and email templates
- Test reports and dashboards against numbers you already trust
- Log defects with screenshots and fix in priority order
3. Data and integrations
- Compare record counts between old and new system
- Spot-check 20 records end to end
- Test every integration with real sample transactions
- Confirm tax, currency and number formats
4. Training and cut-over
- Train each role on their own daily tasks
- Share a one-page guide per role
- Agree the cut-over date and the last day for the old system
- Take a final backup of the old data
- Confirm who approves the go-ahead
5. First week after go-live
- Hold a short daily check-in for the first week
- Track issues in one shared list
- Review adoption: who is not using the system and why
- Fix quick wins fast and schedule bigger changes
- Review results against the success measures you set
