Why are my Zoho CRM workflow rules not firing, and how do I find out why?
Most workflow rules fail for a few reasons: the trigger does not match how the record changed, the criteria are too narrow, the rule runs only once per record, or the record was changed by an import, API or function that did not request workflows. Check the rule's trigger and criteria, look at the record's timeline and audit log, and test with a fresh record.

Start with the trigger. A rule set to run on create will not run on edit, and a rule set on a specific field update only fires when that field changes. Rules on edit often have an option to run only the first time a record matches. If that box is set, a record that already matched once will never fire again. Date-based rules run on a schedule, so they can seem late rather than broken.
Next, check the criteria. A single wrong picklist value, a blank field or a condition using AND when you meant OR is enough to stop a rule. Open a record you expected to trigger and compare its values to each condition. Remember that data from imports, integrations or Deluge functions only triggers workflows when that process asks for it. In Deluge and the API this is controlled by a trigger setting on the update call.
Then look at what Zoho CRM recorded. The record timeline shows actions that ran. The audit log shows who or what changed the record. Check whether actions like emails failed because of daily limits or a missing template. If your rules have grown into a tangle that nobody fully understands, Flowpeak can audit them and rebuild the logic so it is predictable.
Key points
- Confirm the trigger type matches how the record changes.
- Untick run only the first time if the rule must repeat.
- Compare a sample record's values against every condition.
- Check whether imports, integrations or functions request workflow triggers.
- Review the record timeline, audit log and email limits.
Common questions
Do imports trigger workflow rules?
Only if the import is set to trigger them. Check the options in the import wizard before you run a large import.
Is there a limit on workflow rules?
Yes, the number of rules and actions depends on your edition. Check your plan's limits in the current Zoho CRM help.
