Why can't Zoho Analytics calculate Shopify COGS and gross margin?

Zoho Analytics can only calculate what the Shopify data gives it. Order lines carry selling price, discounts and tax, but product cost often sits on a separate inventory record or is missing. If cost is not imported, or is blank for some products, margin cannot be worked out. The fix is to bring in a reliable cost per SKU and join it to order lines.

Shopify stores the cost of an item on its inventory record, not on the order. Many stores also leave that field empty or update it only now and then. When Zoho Analytics pulls Shopify data through its connector, you get orders, line items, products and customers, but the cost field may not come across in the table you are using, or it may be blank. Without a cost per unit on each line, a gross margin formula has nothing to subtract.

There is a second problem: timing. Even when cost is present, it is the current cost, not the cost at the date of sale. If your supplier prices change, using today's cost on last year's orders gives a misleading margin. Refunds, shipping charges and discounts also need clear rules, or two people will calculate two different margins from the same data.

The practical fix is a cost table you control. Export SKU and unit cost, or keep it in Zoho Inventory or Zoho Books if you use them, and import it into Analytics on a schedule. Join it to Shopify order lines on SKU, then build formula columns for line cost, gross profit and margin percentage. If you need historical accuracy, store cost with an effective date and match each order to the cost valid on that day.

If you would rather have this modelled for you, a Zoho Analytics partner such as Flowpeak can set up the cost table, joins and margin dashboards and document the rules so your numbers stay consistent. Most of this work is a one-off setup, after which the reports refresh on their own.

Key points

  • Check whether cost per item is filled in for every Shopify product and variant.
  • Confirm which Shopify tables your Analytics connector imports and whether cost is among them.
  • Create a SKU cost table, with effective dates if costs change often.
  • Join the cost table to order lines on SKU and add formula columns for cost, profit and margin.
  • Agree how refunds, discounts and shipping are treated before you publish the report.

Common questions

Can Zoho Inventory supply the cost instead?

Yes. If Inventory or Books holds purchase cost per SKU, you can sync that data into Analytics and join it to Shopify orders instead of relying on Shopify's cost field.

Will margin update automatically?

Once the cost table and joins are set up and the data sync is scheduled, reports refresh on each sync without manual work.
