What are the disadvantages of Zoho Mail?
Zoho Mail's main disadvantages are a limited free plan, strict anti-spam controls that can block accounts, fewer third-party add-ons than Outlook or Gmail, and an office suite most staff have not used before. The free plan, at the time of writing, has no IMAP, POP or ActiveSync, so it cannot connect to Outlook or other mail apps.

The free plan is the first limit people hit. At the time of writing, Zoho's pricing page lists the Forever Free plan for up to 5 users, 5 GB per user and one domain, with IMAP, POP and ActiveSync not included. It is also only available in select data centres, so some regions cannot sign up for it. When you add a sixth user, everyone moves to a paid plan.
Zoho Mail is strict about outgoing spam. If it sees a suspicious login or unusual sending, it can block outgoing mail until an admin verifies the account. This protects your domain reputation, but it can stop a sales team mid-day. Zoho Mail is also not meant for bulk marketing email, which belongs in a dedicated email marketing tool such as Zoho Campaigns.
The ecosystem is smaller. Microsoft 365 and Google Workspace have far more third-party add-ons, and many staff already know Outlook, Word, Excel or Gmail. Zoho's own Writer, Sheet and Show work well, but people need time to adjust, and some shared files with complex Excel macros or Word formatting may not behave the same.
Admin settings take care. DNS records like SPF, DKIM and DMARC must be set correctly or mail can land in spam. Some paid plans are sold on yearly terms only in some regions, at the time of writing. Check the current pricing page for your region before you commit.
For many small businesses, Zoho Mail is still a good choice. It is ad-free, works well with Zoho CRM and other Zoho apps, includes a desktop app for Windows and macOS on paid plans, and costs less than most rivals. It suits teams that already use Zoho and do not depend on Microsoft-specific tools.
Key points
- Free plan: up to 5 users, 5 GB each, one domain, no IMAP, POP or ActiveSync, at the time of writing.
- Strict outbound spam checks can block sending until an admin verifies the account.
- Fewer third-party add-ons than Microsoft 365 or Google Workspace.
- Staff used to Outlook and Office need time to adjust.
- Good fit for teams already using Zoho CRM and other Zoho apps.
Common questions
Is Zoho Mail good for business?
Yes, for many small and mid-size businesses. It is ad-free, reliable, connects closely with Zoho CRM and costs less than most rivals. Teams that rely on Microsoft-specific tools may prefer Outlook.
Zoho Mail vs Outlook: which is better?
Outlook in Microsoft 365 has a larger add-on ecosystem and deeper Office integration. Zoho Mail is simpler, cheaper and fits better if your business runs on Zoho apps. You can also use Outlook as the app on top of a paid Zoho Mail account.
Can I use the free Zoho Mail plan in Outlook?
Not at the time of writing. Zoho says the free plan does not include IMAP, POP or ActiveSync, which Outlook needs. You would use Zoho's web and mobile apps instead.
